It describes our data practices honestly as they exist today and concerns our public website and online tools. Each service we offer is covered by its own clear legal documents that clients review and sign when agreeing to an engagement. This policy reflects our current business practices and will be updated as our services, technologies, and legal obligations evolve.
1. Who we are
Neptoniq Creations LLC ("Neptoniq," "we," "us") is a Nevada limited liability company providing technology consulting, custom software, web systems, automation, AI assistants, workflow integrations, managed hosting, and related technical services.

This policy covers our public website, contact and intake forms, and the systems we operate directly. Work we perform inside a client's own systems and accounts is governed by that client's privacy practices and our written agreement with them, not by this policy.
2. What data we collect
You give us directly:
- Contact and inquiry data you submit through our forms (name, email, phone, company, project description, and anything you choose to include in a message).
- Voice-callback requests, where you submit a phone number and check a required consent box to receive a callback (see Section 6).
- Mobile phone number and text-message (SMS) consent, if you choose to opt in to receive text messages from us (see Section 7).
Collected automatically when you visit our website:
- Standard server and request data (IP address, browser type, pages viewed, timestamps) used for security and basic operation.
- We will disclose any analytics, cookies, or tracking pixels in this section as they are added. As of this version, we do not run third-party advertising or cross-site tracking.
Storage on your device
Our site stores small amounts of data in your browser to make features work — this is functional/continuity storage, not advertising or cross-site tracking.
- Session (per tab, cleared when you close the tab): your active chat session and transcript, so a refresh or resize doesn't drop you back to the form; and your in-progress question answers.
- Persistent (kept on your device): a chat resume credential — a session token plus a signed key — kept for up to 48 hours so a return visit picks your conversation back up without the email link (our server re-verifies this credential every time, so it can't be forged); your "My Plan" shortlist; basic contact details you entered, to prefill forms; and your light/dark theme preference.
- Your control: ending a chat removes the resume credential immediately, and clearing your browser's site data removes all of the above. The resume credential also expires on its own after 48 hours.
Resuming a chat relies on this device credential; without it — for example on a different device, or after you clear your site data — you can pick a conversation back up using the email link instead.
We do not intentionally collect special-category personal data (health, biometric, precise geolocation, etc.) through our public surfaces.
Chat assistant summaries and follow-ups
When you use our chat assistant and provide an email address, we may generate and send you a summary, transcript, or brief of the conversation, and related follow-up messages. This includes cases where our systems detect you left before formally ending the chat, so we can still deliver the summary you were working toward. These sends go only to the address you provided, are tied to your specific conversation, and you may opt out at any time via the unsubscribe link or by contacting us.
3. Why we collect it
- To respond to your inquiry and provide the services you request.
- To place a callback you explicitly asked for.
- To send text messages you have opted in to receive (see Section 7).
- To operate, secure, and improve our website and systems.
- To meet our legal, tax, and recordkeeping obligations.
We do not sell your personal data.
4. Service Providers
We use third-party providers to operate our website, communications, infrastructure, analytics, security, and business systems. These providers may process information on our behalf as necessary to provide their services.
- Cloudflare Privacy Policy — DNS, security, content delivery, edge infrastructure, and related services.
- Vercel Privacy Policy — Website hosting and application delivery.
- Neon Privacy Policy — Database hosting and storage.
- Resend Privacy Policy — Transactional email delivery.
- Stripe Privacy Policy — Invoicing and payment processing for invoices we send by email or text message.
- Google Privacy Policy — Email, productivity, analytics, and related services, if used.
- Twilio Privacy Notice — Voice, messaging, and communication services, if used.
- Vapi Privacy Policy — AI voice assistant platform for placing and handling phone calls, if used.
Where a form or feature sends your content to an AI provider for processing, we describe that in our AI & Automation Disclosure and, where applicable, at the point of collection.
5. How long we keep data, and deletion
We retain personal data only as long as needed for the purpose it was collected, plus any period required for legal, tax, or recordkeeping reasons. Consent and callback records — including mobile text-message consent records — are retained as a proof-of-consent audit trail (see Sections 6 and 7).
You may request access to, correction of, or deletion of your personal data by emailing privacy@neptoniq-creations.com. We will make reasonable efforts to honor valid requests promptly, subject to legal retention obligations and our ability to verify your identity. We describe this as a best-effort process; we do not guarantee a fixed deletion timeline in this version.
6. Voice calls and consent
We place outbound calls only to people who first requested a callback through our voice-callback form and checked a required consent box. Calls are placed by an AI voice assistant that identifies itself as AI at the start of the call. The exact consent text, a consent-version identifier, and the submission timestamp are stored with each record as a permanent proof-of-consent trail. A number can be dialed only if a consented record exists for it. See the AI & Automation Disclosure for detail.
7. Mobile Messaging (SMS)
If you opt in to receive text messages from Neptoniq Creations — by checking the SMS consent box on our contact form or by verbally agreeing during a call with our team — we may text you about your inquiry, appointments, and account, such as replies and follow-ups to a service inquiry, appointment and callback confirmations and reminders, and project or account status updates (for example, letting you know a document or brief is ready). Messages may include a link and a callback phone number.
Message frequency varies based on your activity. Message and data rates may apply depending on your mobile plan. Reply HELP for help or STOP to opt out at any time.
We do not share or sell mobile opt-in information, phone numbers, or SMS consent to third parties or affiliates for marketing or promotional purposes. Mobile opt-in data is used only to send you the messages described above.
SMS consent is never a condition of using our services or making a purchase. You can decline text messages and still work with us in every other way. We keep a human-reviewable record of your consent — the exact consent language, a consent-version identifier, and the timestamp — as a proof-of-consent audit trail. 8. Security
We apply best-effort, reasonable safeguards to the systems we operate, including access controls and use of established providers. No method of transmission or storage is perfectly secure, and we do not guarantee that any system is immune from compromise. We describe our efforts, not outcomes.
9. Minors
Our services are directed to businesses and are not intended for anyone under 18. We do not knowingly collect personal data from individuals under 18.
10. Changes to this policy
We may update this policy as our practices and legal review evolve. Material changes will be reflected by a new version number and effective date above.
